 Notes about the Registration Process

  • All fees are renewed annually by the Board of Directors, new fees are implemented on 1st September each year.

 

  • Level 4 and Level 3 Programme Directors are required to send 2 passport photographs for each learner -with name written on the rear side.  (One photo will be used for the Student Card).

 

  • It is very important that students are made aware of their responsibility to inform the Programme Director AND Institute of Tourist Guiding if their contact details change, to ensure invoices are sent to the correct address.  The Registration address supplied will be used by the Institute when sending out student cards, examination information, invoices and certificates.

 

  • Upon receipt of the Registration Document the Institute will prepare a Programme Register, and Student Identity Cards for Level 4 (Blue Badge) and Level 3 (Green Badge) students.

 a)  For Students on an Accredited Programme

  Programme Directors are responsible for collecting the Registration Fee payable by each Learner upon Enrolment.  By the end of the third week of the course commencement, Level 4 (Blue Badge) and Level 3 (Green Badge) Programme Directors are required to submit details of enrolled students to the Operations Manager of Institute of Tourist Guiding.

Candidates are invited to register an interest in taking a Language Examination at any time. Examinations are usually held in the Autumn term and you will be contacted by the Language Committee who will offer you Examination dates and the opportunity to attend a Language Seminar.

 Registration Fees - Refunds Policy

  • If for any reason you inform your Programme Director that you wish to abandon your Level 3 (Green) or Level 4 (Blue Badge) Programme within the first 4 weeks of the programme commencement, we will refund half the registration fee.
  • If the programme is cancelled by the Programme Provider for any reason within the first 4 weeks of the programme commencement, we will refund your registration fee in full.
  • Registration fees paid by External Candidates are non-refundable unless the Candidate withdraws within 3 weeks when we will refund half the registration fee.
  • Level 2 Registration Fees are non-refundable unless the programme is cancelled by the Programme Provider for any reason within the first 4 weeks.

 Notes on Examination Fees

  • All fees are renewed annually by the Board of Directors, new fees are implemented on 1st September each year. 

 

  • Level 2 candidates - No examination fee is charged to Level 2 candidates at the first examination as this is covered by the Registration Fee.  However should a re-sit be necessary a charge will be levied by the Institute of Tourist Guiding to cover the cost of the Examiner's services.

 

  • It is the responsibility of the Programme Director to agree the examination dates with the Operations Manager and provide full information about the location of all examinations at least 12 weeks before they are due to take place.

 

  • Invoices will be sent to candidates no later than 8 weeks before the examination, and payments should be received by the Institute of Tourist Guiding no less than 6 weeks before the date of the examination.

 

  • Fees associated with the Course Project are set by and payable to the Programme Director directly.

 

  • If an Appeal is upheld, the Appeals Fee is refunded.

  • If a student fails to arrive for an examination no examination fee is refundable.

 

  • In all other cases the student will need to lodge an Appeal in accordance with the Bye Laws of the Institute with the Appeals Committee and pay an Appeals Fee - refundable is the Appeal is upheld.

 Notes on Accreditation Fees 

  • All fees are renewed annually by the Board of Directors, new fees are implemented on 1st September each year. 
  • When the Accreditation Committee consider an application for Re-Accreditation they retain the right to require the Course Content to be revised.  In this situation the original Accreditation is considered null and void. 

 Refunds Policy

  • Should an Accreditation Application be withdrawn within 3 months, and before scrutinized by the Accreditation Committee, the full fee, less £50 will be refunded to the Applicant.
  • If the Course Re-Accreditation is rejected by the Accreditation Committee then we will refund the fees less £50.  The Course Provider will then need to make an entirely new application for Accreditation a new Course Accreditation

 Expenses Claimable by Directors (from July 2012)

Generally members are extremely generous with their time and we would like to thank you for all your efforts on behalf of the Institute. Claims should be submitted after every meeting to the office using an Expense Claim Form. Contact the office if you need a claim form.

Travel

It is the policy of the Institute to encourage Directors to use public transport for all travel in central London. We do, however, recognise that some members travel a considerable distance and do not live beside a station.

Claimable

Rail ticket return fares, bus fares, oyster fares

For access to a railway station - car usage up to 50 miles per day at 25p per mile.

Parking for the day at the railway station (or other nearby cheaper car park).

Taxi only after authorization.

All Directors are asked to take advantage of Off Peak offers, and arrange meetings well in advance so that members can take advantage of early booking.

Stationery and Photocopying

All Directors should collect any stationery they need from the Institute office (please let the staff know your requirements in advance). Directors are reminded that all official letters should be sent out via the office. You should always ask the office to photocopy large numbers of documents.

We recognise that you may use your home printer for Institute committee work. Claims for cartridges need to be justified, but a claim for one cartridge - or a proportion of one cartridge will be considered acceptable once per year.

Postage

Please use email whenever possible. All large postings should be done by the office. Any claims for postage will need to be justified.

Telephone and Email

Occasional use of the telephone and internet access is essential. We will therefore accept a claim for up to £20.00 per annum to set against these costs.

Subsistence

No subsistence claims are permitted for attending Committee Meetings.

Supplementary Expenses - Claimable by the Officers or any person designated as the President's Official Representative

Additional Travel

Air Fares to Northern Ireland , Scotland and Europe  - only with the consent of the full Board of Directors.

Unlimited Car usage outside the London area at 25p per mile.

Parking

Taxi, only where no other public transport is available.

Subsistence

Overnight accommodation where official duties necessitate staying a further day. The office should organise accommodation in advance wherever possible. You may be asked to justify your choice!

Meals - Breakfast - up to £10.00, Lunch - up to £10.00,

Dinner - up to £20.00

Hospitality - please avoid offering meals. The occasional drink for another person is permitted.

AGM

Institute AGM Lunch - claimable by the President only.

Institute AGM - travel expenses are claimable by the President and for those Directors involved in the organization of the event.

Purchase of Gifts

Gifts on behalf on behalf of the Institute (eg flowers, book). Limit of claim £35.00.

In recognition of the additional workload born by Directors in these office, an additional claimable allowance of £20.00

Examiner and Visitor allowable expenses

1.  Travel

Within London, not claimable, considered to be part of the Examiners Fee.

Outside London - Wherever possible we expect Examiners to use Public Transport.

By road - If the examination is taking place within a 25 mile radius of your home (ie up to a 50 mile return journey) no travel is claimable and is considered to be part of the Examiners Fee.  Additional mileage claimable at the rate of 25p per mile.

By rail - rail fares are claimable in full if the journey is more than 25miles from home (receipt required).

Car hire - Where an examiner is working in a distant location, and no public transport exists, it may be necessary for an Examiner to hire a car, (having travelled by rail to the local centre).  Eg   a London based Examiner in Newcastle to do exams in NE Region and along Hadrians Wall).  Such hire must be authorized in advance by the Exams Committee and organised by the Office Manager.  We may ask examiners share the car.  We will refund the full cost of car hire. (receipt required).

Air Travel -  There are occasions when air travel is required - eg travel to Northern Ireland or the Channel Islands.  If an Examiner is asked to undertake such a journey by the Exams Committee, all arrangements will be made by the Office Manager in conjunction with the Examiner.  The Examiner is expected to travel on the flights arranged by the Office Manager and organise personal commitments to fit around the arrangements.

2.  Meals

a)   A Meal allowance is ONLY claimable if a full day rate being paid.

b)  Coffee - The Chief Examiner is authorised to purchase a coffee for each Examiner during the briefing and de-briefing session.

3.  Accommodation

There are times when an Examiner may be appointed and needs to stay overnight in another region.  The Office Manager will be responsible for organising accommodation and will contact the Examiner to co-ordinate times and places.  We will refund the full cost of accommodation, evening meal, lunch and breakfast at the standard guide rates.

If the Examiner is staying with a friend and would like to give them something towards the cost of their stay, we will make a one off payment of £70 per night to cover all costs.  (Receipt required).

4. Postage/Telephone/Email

Postage/Telephone/Email calls are not an allowable expense, and should be seen as part of the Examiner's fee.

How to submit your Invoice for Examiner Services and Course Visitor Allowances

All invoices should be submitted within one month of the examination. 

Please note we are shortly planning to move to a BACS Bank Credit scheme for the payment of Examiner's Fees and Expenses.

Information your invoice should include:-

  • the full name of the programme, the level of the examination
  • the place, date and time of the examination
  • the duration of the examination
  • the name of the Chief Examiner
  • the agreed fee
  • allowable expenses (listed above)
  • your BACS details, Bank Name, Account Name, Sort Code, Account No.

The Role of the Finance Director

All Directors are voted into office by the Members of the Institute of Tourist Guiding at the Annual General Meeting.  They receive no remuneration for their services but are entitled to claim out of pocket expenses, as outlined in the section Director, Committee and Volunteer expenses. 

The Finance Director is responsible for the overall management of the financial affairs and of the Institute of Tourist Guiding.  The Finance Director draws up the annual budget and prepares the Annual Accounts. After liaison with staff and Committees, the Finance Director makes recommendations about any changes needed to Membership Subscriptions, Administration Expenditure, Examination Fees and Examiners Fees.  Any proposal made by the Finance Director must be ratified by the Board of Directors before it become policy.
